Abstract:Plesni klub za evidenco udeležencev tekmovanj uporablja le list papirja. Skozi leto se nabere večje število listov, kar povzroča nepreglednost in ponavljajoče se iskanje podatkov o udeležencih na tekmah in plačilih štartnin. Vedno znova in znova je potrebno pregledati vsak list posebej in iskati podatke, ki jih v tistem trenutku potrebujemo. Nepregledna evidenca nam otežuje vsakodnevno delo in povzroča nezadovoljstvo strank. Doseči želimo informatizacijo procesa vplačil. Želimo, da bi bil proces računalniško podprt in nam tako olajšal delo. S preglednejšo evidenco bi lahko dosegli tudi boljšo produktivnost zaposlenih. Zaposleni bi se izognili ponavljajočemu in dolgotrajnemu iskanju podatkov in tako v krajšem času naredili več. Osredotočimo se na informatizacijo procesa s pomočjo programa Microsoft Access 2010. Izdelali smo podatkovno bazo, ki nam bo v pomoč pri težavi s katero se soočamo. Podatkovna baza je namenjena predvsem vnašanju plačnikov in neplačnikov štartnin, hkrati pa vsebuje tudi pregledno evidenco le-teh. Kljub temu, da smo se osredotočili predvsem na težavo, povezano s štartninami, smo Accessovo bazo razširili in omogočili tudi vnašanje plačil letne registracije in članarine. S pomočjo obrazca Tekmovalec najprej vnesemo osnovne podatke o tekmovalcu. Nato sledi razporeditev tekmovalcev v skupino in določitev trenerja. Naslednji korak je vnos tekmovanja, ki sledi, v bazo Plesnega kluba. Šele, ko smo vnesli vse te podatke lahko potrdimo udeležbo tekmovalca na tekmovanju. Poravnana plačila štartnin vnašamo sproti in po potrebi izpišemo evidenco poravnanih štartnin. Evidenca je urejena po abecednem redu, s čimer smo si iskanje in preverjanje plačnikov oz. neplačnikov še dodatno olajšali. Podjetju smo izpolnili dolgoletno željo po boljši preglednosti plačnikov in neplačnikov, zato smo prepričani, da bo program tudi v prihodnosti zadovoljeval potrebe Plesnega kluba. Prav tako je dostop do vseh obrazcev in poročil izredno preprost. Do njih dostopamo s pomočjo gumbov na glavnem obrazcu. Če nismo vešči pri delu z MS Access-om nam, vnos podatkov ne bi smel povzročati težav. Razlog, da je za vsak obrazec in za vsako poročilo svoj gumb, je ravno v tem, da smo želeli program narediti čim bolj preprost in omogočiti, da ga bodo lahko uporabljali vsi zaposleni v Plesnem klubu.

Title:REENGINEERING OF CUSTOMER DATABASE FOR A DANCE STUDIO
Abstract:The Dance club makes lists of the contest participants on sheets of paper. Due to the increasing amount of this paper all through the year transparency of information is often diminished causing situations where information about the participants and their payments has to be looked up repeatedly. The lists must be examined over and over again in order to find the information needed in that particular situation. This intransparency represents challenges for the employees of the Dance club and also leads to dissatisfaction of the customers. We wish to introduce informatization of the payment process, a computer-based method that would make the work easier for the employees and would also increase their productivity. They would avoid having to look for the same information repeatedly and could do more work in a shorter period of time. In the following the focus will be on the informatization process with the help of Microsoft Access 2010. We have created a database to help us deal with the existing challenge. This database is used for adding the data regarding the payments of entry fees and these are presented in a very transparent way. Although the focus was on the difficulties connected with entry fees, the Access Database was extended and can be also used for entering data regarding payments of annual registration fees and membership fees. At first basic information about the contestant is entered with the help of a specific form named »Tekmovalec« (Contestant). Then groups of contestants are formed and judges are assigned. The following step represents the entry of the contest into the database of the Dance club. After all this information has been added to the database the name of the contestant can be confirmed for the competition. The information regarding the paid entry fees is entered simultaneously with the payments and the list of all paid entry fees is created if needed. The list is sorted alphabetically which additionally simplifies the search and the review of the data connected with payments. With this step the company’s longstanding wish for better transparency of the payments has been granted. This provides us with the certainty that the programme will meet the needs of the Dance club in the future as well. All forms and reports of the database are easy to access using buttons in the main form. Data entry should not cause difficulties even to those who are not familiar with the programme MS Access. In wanting to create a simple programme useful for every employee of the Dance club we established a system where there is a separate button for every single form and report.
