Title:PROUČITEV UVEDBE ELEKTRONSKEGA SISTEMA ZA UPRAVLJANJE DOKUMENTARNEGA GRADIVA V VELIKEM SLOVENSKEM TRGOVSKEM PODJETJU XY

Abstract:Zaradi naraščajočega obsega in kompleksnosti informacij v sodobnem poslovnem svetu so podjetja primorana k spremembi pristopa k učinkovitejšemu obvladovanju informacij, zapisanih v njihovih dokumentih, ki vstopajo in izstopajo v njihovo okolje. S proučevanjem relevantne teorije in primerjavo klasičnega fizičnega upravljanja dokumentov s sodobnimi metodami elektronskega upravljanja dokumentov smo ugotavljali oprijemljive in neoprijemljive koristi posameznih vrst upravljanja dokumentov. Ugotavljali smo prednosti in slabosti ter priložnosti in nevarnosti klasičnega upravljanja in elektronskega upravljanja dokumentov ter ugotovili, da elektronsko upravljanje dokumentov prinaša več oprijemljivih in neoprijemljivih koristi kot klasično upravljanje dokumentov. S teoretičnim izračunom stroškovne upravičenosti na primeru podjetja XY smo ugotavljali prihranke, ki jih prinaša elektronsko upravljanje dokumentov pred klasičnim upravljanjem. Pri tem smo testirali izvajanje elektronskega upravljanja dokumentov v lastni izvedbi, izvedbi s strani zunanjega izvajalca in hibridni izvedbi, kjer se dolgoročno arhiviranje dokumentov izvaja s strani zunanjega izvajalca. Ugotovili smo, da hibridna izvedba predstavlja najbolj varno in stroškovno učinkovito obvladovanje informacij podjetja.

Title:CONSIDERATION OF IMPLEMENTING AN ELECTRONIC DOCUMENT AND RECORDS MANAGEMENT SYSTEM IN LARGE RETAIL AND WHOLESALE COMPANY XY
Abstract:Due to growing volume and complexity of information in modern business, companies are forced to change their approach to the efficient management of information written in their records that are entering and leaving their businesses. We identified tangible and intangible benefits by studying the relevant theories and made a comparison of manual records management system with modern methods of electronic document and records management system. We determined the strengths, weaknesses, opportunities and threats of manual records management system and electronic document and records management system and found that the electronic document and records management system brings more tangible and intangible benefits as manual records management system. With hypothetical cost saving calculations in the case of company XY we tested what savings may be brought about by the electronic document and records management system over conventional records management system. In doing so, we tested the implementation of electronic document and records management system as insourced, outsourced and hybrid implementation, where the long-term archiving of records is carried out as outsourced. We concluded that the hybrid implementation represents the most secure and cost-effective information governance.
